Catch-Up Bookkeeping: What It Costs and How to Get Current

Months behind on your books? Published 2026 catch-up and cleanup pricing, what drives cost, the cleanup process and how to avoid falling behind again.

By the ExecWing team · · 5 min read

Falling behind on bookkeeping is common — a busy season, a departed bookkeeper, a move to new software. Catching up is very doable, but it's a different job from monthly bookkeeping, and it's priced differently. Here's what to expect.

What catch-up and cleanup mean

  • Catch-up bookkeeping records months that were never booked.
  • Cleanup bookkeeping fixes months that were booked incorrectly: miscategorized transactions, duplicates, unreconciled accounts, a messy chart of accounts.

Most projects are a mix of both.

What it costs in 2026

Published 2026 benchmarks:

  • Etisson estimates catch-up at $150–$300 per month behind for low complexity, $300–$600 for medium and $600–$1,200+ for high complexity (Etisson).
  • Upcision benchmarks fixed-fee cleanup by backlog: $300–$500 for 1–3 months behind, $500–$1,500 for 4–6 months, $1,500–$3,500 for 7–12 months and $3,500–$8,000+ for over a year, for businesses at roughly 50–150 transactions per month (Upcision).

These are industry ranges, not quotes. Your price depends on the factors below.

What drives the cost

  1. Months behind. More months, more work.
  2. Transaction volume. 50 transactions a month is very different from 1,000.
  3. Number of accounts. Each bank, card, loan and processor needs reconciling.
  4. Record availability. Missing statements and receipts take time to obtain.
  5. Complexity. Payroll, inventory, multiple entities, mixed personal and business spending.
  6. Prior errors. Fixing wrong entries can take longer than entering new ones.

The cleanup process

1. Assessment

A bookkeeper reviews your file, accounts and records to scope the work and identify gaps. This is when you get a fixed quote.

2. Gather records

Download statements for every account and period. Collect payroll reports, loan statements and key invoices and bills.

3. Fix the foundation

Clean up the chart of accounts, opening balances and bank-feed connections.

4. Book and categorize

Enter and categorize every transaction for the backlog period, applying rules for recurring items.

5. Reconcile every account, every month

Reconcile each account month by month to statements. See the reconciliation guide.

6. Review AR, AP and payroll

Bring receivables, payables and payroll journals current and accurate.

7. Review and hand off

A reviewer checks the work. You receive monthly financial statements for the period and a summary of issues found. Your CPA receives what they need for any outstanding filings.

How long it takes

Simple backlogs of a few months can take a couple of weeks once records are available. Larger, more complex projects take longer. Record-gathering is often the slowest step — start there.

ExecWing cleanup pricing

We price cleanup per month behind after a file review (pricing):

  • $175/month for simple books
  • $295/month for moderate complexity
  • Complex files (inventory, multi-entity, payroll problems) are quoted after review
  • $750 minimum project

We don't prepare or file tax returns or amended returns; we deliver clean books to your CPA.

Avoid falling behind again

  • Weekly categorization instead of monthly marathons
  • A monthly close checklist with a target date — see the month-end close checklist
  • Receipt capture at the time of purchase
  • A dedicated owner, whether in-house, fractional or dedicated

Questions to ask a cleanup provider

  1. Is the quote fixed, and what assumptions does it rest on?
  2. What happens if records are missing?
  3. Will every account be reconciled every month?
  4. Who reviews the work?
  5. Will you coordinate with my CPA?
  6. What's the timeline?

A worked example: pricing a nine-month cleanup

Take an illustrative service business that last reconciled its books nine months ago. It has two bank accounts, one credit card and Stripe deposits, at roughly 220 transactions a month.

Item Detail Effect on cost
Months behind 9 The main driver
Accounts to reconcile 4 (2 bank, 1 card, 1 processor) More statements per month
Volume ~220 transactions a month, about 2,000 in total Mid-range
Missing records About 15% of card transactions lack receipts Extra follow-up time
Payroll Run through Gusto; journal entries never posted Entries to rebuild
Prior-year status Closed and filed by a CPA No need to reopen last year

Under ExecWing's published cleanup pricing (from $175 per month behind for simpler books, $295 for complex ones, $750 minimum), this job would fall at the higher rate because of the multiple accounts and payroll rebuild: about $2,655 before any ongoing plan. Other providers price by the hour or by transaction count, so compare quotes against the same scope.

The documents to gather before you ask for quotes

  • Bank, credit-card and loan statements (PDF) for every month behind
  • Payment-processor payout reports (Stripe, Square, Shopify Payments, PayPal)
  • Payroll reports for the same period
  • Sales invoices and any AR aging
  • Vendor bills and AP aging, if you have them
  • Last filed tax return and any CPA adjusting entries
  • A list of loans, leases and large asset purchases

Quotes based on these documents are more accurate than quotes based on a phone call.

Cleanup milestones you should see

Milestone Typical timing What you receive
Scope confirmed Week 1 A written scope and fixed quote
Bank and card reconciliations complete Weeks 2–4 Reconciliation reports per account per month
Categorization reviewed Weeks 3–5 A list of questions for you, grouped and prioritized
Payroll and loan entries posted Weeks 4–5 Journal-entry support
Final review Week 5–6 Balance sheet and P&L for each month, plus open items

Timing depends on volume and how quickly you answer questions. The biggest delays usually come from the business side: unanswered questions about transactions only the owner understands.

Checklist: avoid a second cleanup

  • Choose an ongoing plan that includes monthly reconciliation and a close deadline
  • Connect bank feeds and receipt capture so documentation happens at the time of purchase
  • Schedule a 20-minute monthly call to answer the bookkeeper's questions
  • Lock each closed month in your accounting software
  • Review your P&L monthly, even briefly, so problems surface in weeks, not quarters

If you're behind on filing as well, talk to your CPA early. The IRS has guidance on what to do if you haven't filed, and late filing penalties generally grow over time.

Red flags in a cleanup quote

  • A price given before anyone has seen your statements
  • No written scope that lists accounts and months
  • "We'll just plug the difference" to an uncategorized or suspense account at the end
  • No mention of who reviews the work
  • Requests for your online-banking password instead of statements or read-only feed access

The bottom line

Catch-up bookkeeping is a repair job, priced by months behind and complexity. Published 2026 ranges run from a few hundred dollars for a short backlog to several thousand for a year or more. Get a file review, a fixed quote and a plan to stay current afterwards.
